Job Description

Position Summary:

We are seeking a highly organized and detail-oriented Project Manager to join our client, growing nutraceutical manufacturing company. This role is responsible for managing all aspects of the project lifecycle from the time a client sales order is confirmed (deposit received) through to final product delivery.

The ideal candidate will act as the central point of communication between internal departments, ensuring projects are completed on time, within scope, and to the highest quality standards.

Key Responsibilities:

Project Initiation & Planning:

  • Take ownership of new projects immediately following deposit confirmation on sales orders.
  • Review client specifications, order details, and timelines to initiate project planning.
  • Coordinate and lead internal kickoff meetings with Purchasing, Design, Production, QA/QC, Packaging, and Shipping teams.

Cross-Functional Coordination:

  • Collaborate with the Purchasing team to ensure timely procurement of raw materials, components, and packaging.
  • Work closely with Graphic Designers to manage artwork creation, revisions, and approval workflows.
  • Liaise with Production and Manufacturing teams to schedule batches, track progress, and resolve issues.
  • Ensure Packaging specifications are executed accurately and align with brand and regulatory requirements.
  • Coordinate with QA/QC teams to meet product compliance, regulatory standards, and release testing.
  • Oversee Shipping and Logistics to ensure timely and accurate fulfillment of orders.

Sales Team Communication & Management:

  • Serve as the main point of contact for the Sales Team once the deposit is received and the project is initiated.
  • Provide regular updates on project progress, timelines, milestones, and potential risks.
  • Ensure all project details, changes, and client requests are clearly communicated between the sales team and internal departments.
  • Support the sales team in managing client expectations regarding production schedules and deliverables.

Timeline & Budget Management:

  • Develop and manage detailed project timelines, tracking milestones and deliverables.
  • Monitor project costs and work closely with internal teams to maintain budget targets.

Documentation & Reporting:

  • Maintain accurate project documentation, including schedules, approvals, and communications.
  • Prepare regular project status reports for internal stakeholders and provide updates during production meetings.

Qualifications:

  • Bilingual - Spanish & English
  • Bachelor’s degree in Project Management, Business, Supply Chain, or related field.
  • 3+ years of project management experience, preferably in the nutraceutical, pharmaceutical, or food manufacturing industry.
  • Strong understanding of GMPs, FDA, and regulatory compliance.
  • Excellent organizational and time management skills.
  • Strong interpersonal and communication skills; capable of working cross-functionally and supporting client-facing teams.
  • Proficient in project management tools (e.g., Monday.com, Asana, Trello, or MS Project).
  • PMP or similar certification is a plus.
